Role Title: Executive Support Administrator
Reports to: Executive Business Partner
Contract Type: Permanent, full-time (36.25 hours per week)

Salary: £24,000 FTE
The Executive Support Administrator (ESA) at the SS Great Britain Trust will serve as administrative support to the Leadership Team, Executive Business Partner (EBP), Head of People, and the finance department. This role is key in supporting the Trust’s mission to protect and promote the heritage of Brunel’s SS Great Britain while driving operational excellence. The ESA will help the organisation to maximise executive productivity and facilitate strategic goals.
Key Responsibilities
- Provide diary and meeting support to members of the Leadership Team including Director of Marketing & Experience, Director of Development, and Director of Finance.
- Provide administrative support to the Head of People and the Finance Department including supporting the new starter/leavers and recruitment process.
- Liaise with the Head of People and Finance Department on a regular basis to ensure good working practices and clear communication.
- Assist the Executive Business Partner with administrative support to the CEO. Leadership team and wider organisation.
- Act as an initial point of contact for the Directors, dealing with straightforward issues and escalating critical.
- Assist the EBP with key events for the Trust e.g. all staff meetings, staff socials, patron visits, Exec Away days.
- Organises office and wider site admin needs such as stationery and beverage orders, car park passes, names badges and other miscellaneous equipment.
- Administer organisation wide surveys including staff temp check, Equal Opportunities Survey (Arts Council England funding requirement)
- Provide basic holiday cover for members of the Executive Support Team when required.
- Be a proactive member of the team, contributing to discussions and improving processes to ensure the Department runs effectively.
- Liaise and build relationships with the other Departments of the Trust where necessary.
Skills & Qualifications
- Minimum of 1 years’ experience of working and dealing with members of senior or executive management is essential.
- Minimum of 1 years’ experience of working in an administration position within a busy office environment is essential.
- Proven track record of being able to successfully juggle priorities, work to deadlines and manage a varied workload.
- Strong time management skills and organised approach.
- Comfortable working with financial information and raising purchase orders.
- Excellent attention to detail.
- Proactive and enthusiastic; able to use own initiative when required.
- Strong verbal and written communication skills.
- Excellent IT skills, with good knowledge of Microsoft packages, particularly Outlook, Word, Excel, Teams and PowerPoint
- Accustomed to handling confidential information, and professional discretion.
