Job title: Administrator (part time 20 hours per week – 4 hrs per day over 5 days)

Role Overview:
To provide support across organisational functions, ensuring efficient office operations, effective communication, and smooth coordination of activities, enabling programmes to run effectively and organisational goals to be met.
Key Responsibilities:
Financial Administration:
Support basic financial tasks such as processing invoices, tracking expenses, and maintaining records.
General Office Administration:
- Manage day-to-day office operations emails, phone, handling correspondence, and maintaining office supplies and equipment.
- Scheduling & Calendar Management: Organise meetings, appointments, and events; update organisational calendars and coordinate logistics.
- Supporting Programmes & Events: Assist with the planning, logistics, and administration of events, workshops, and programmes.
- Data & Record Keeping: Maintain accurate files, databases, and documentation related to programmes, memberships, and stakeholder contacts.
- Support Fundraising & Reporting: Assist in preparing materials for funding applications and reports; support fundraising activities by maintaining relevant documentation.
- Support Team & Stakeholder Engagement: Provide logistical support for team meetings and external stakeholder meetings.
- Resources Management: Manage office supplies, equipment, and resources needed for programme delivery.
- Health & Safety & Compliance: Ensure the office environment complies with health and safety standards and organisational policies.
- In liaison with Programming and Artist Development Manager, Responsible for organising and coordinating surveys, feedback forms, and data gathering from programme participants, audiences, and partners.
Person Specification
Essential
- Proven experience in administrative or office support roles, ideally within a community, arts, or non-profit organisation.
- Basic knowledge of financial administration tasks such as processing invoices and expense tracking.
- Experience in supporting event coordination, scheduling, or logistics management.
- Familiarity with data management, record-keeping systems, and database maintenance.
- Excellent organisational and time-management skills, with the ability to prioritise tasks effectively.
- Strong communication skills, both written and verbal.
- Proficiency in using office software such as Microsoft Office (Word, Excel), Google Workspace and calendar management tools.
- Attention to detail and accuracy in handling financial and organisational data.
- Ability to work proactively and independently, while also being a supportive team player.
- Commitment to the organisation’s values of inclusion, diversity, and community cohesion.
Desirable
- Experience using Quickbooks and managing a payroll
- Previous experience supporting fundraising and preparing funding reports
- Familiarity with fundraising platforms or grant management.
- Experience with social media or digital communication tools.
Working pattern:
Mainly remote, if desired with at least one session per week office based
